★ Selecting content to use in a template

- You've created new content which you want to use in your template.
- You want to use content from another content library in your template.
Before you can use content like content parts and questions in your template, you need to link them to your template. In this article we'll explain how to link content (libraries) and manage linked content.
Where can I select content to use in a template?
Choose the Template tab in the main menu and click Edit next to the template that you want to use.
How can I select content to use in a template?
At the top of your template you see multiple tabs. Choose the Content Management tab.
If the content you want to use is not visible in this overview, then the content library which contains the content has to be linked first. To do this click on +Link content libraries. Select the content library (or several content libraries) you want to use and click Update. The content of this content library is now visible in the overview.
Next, select the content that you want to use in the template. When selected click Update.
Through the various buttons it is possible to create a folder structure, but you can also add single content parts and questions.
- + Folder: Here you can create a new folder where the new content sharing and questions can be added.
- + Content part: Here you can add different content sections of different types.
- + Question: With this button it is possible to make various types of questions.
You can deselect the content parts or questions that are not used in activities in a published template.
Checkmarks and boxes
- A blue checkmark means that the content is linked to the template but not yet used in a published activity. You can still unlink this content from your template.
- A grey checkmark means the content is linked to the template, and is used in a published activity. You cannot unlink this content.
- A blue square means that some, but not all content from a folder is linked to the template. Open the folder to see which content is linked.
How can I see which content is in use?
Under the tab Content Management you can see which content is in use. In the column 'In use' you see a checkmark if the content is in use. If you hover over this checkmark with your mouse, you can see where the content is in use.
The distinction is made between content that is really in use in a template and content that is available to be used in a template. This can be distinguished by the colour of the checkmark.
If the checkmark is grey, the content is linked to the template but not in use yet in activities or other places where you can link content. The content is available to be used.
If the checkmark is black , the content is used in the template in activities or in other places where content can be linked in the template.
If you click on a checkmark next to a content part or questions you can see the following information:
- Available to be used in the template(s):
The content is linked to templates listed here but isn't in use yet in these templates in activities or as explanation. - Is used in the templates:
The content is in use in the templates. This means that the content is used in activities or as explanation for example. - Is used as an explanation for blocks:
The content part is used as an explanation for a block. The name of the block where the content is used as explanation is shown here. - Is used in one of the widgets of:
The content is linked to a widget that has been added to the template. - Is used in the documentation widget of:
The content is linked to the documentation widget in the template. - Is used in the activities:
The content is linked to the activity or activities listed in the pop up. - Is used as an explanation in course:
The content is used as explanation for the learner at the start of the course. - Is selected as directly MemoTrainable:
The question is selected as directly MemoTrainable question in the MemoTraining widget. - Is selected as extra question:
The question is selected as an extra question in the Exercise widget. - Is used as more info in:
The content part is linked as 'content part info' in another content part. - Is used as question info:
The content part is linked as 'question info' in a question. - Is used as feedback in:
The content part is linked as 'feedback info' in a question.
Please note: if you create a link to a content part in another content part via the Pluseditor, this content part will not be marked as 'In use'. This means it is possible to remove this content part even though it is used in another content part.
How can I unlink content?
If the template is not published, you can unlink content by removing the checkmark to the left of it. Click Update to save your changes.
If you unlink content like this in an unpublished template, any content that is used in activities will also be removed from those activities.
Once a template is published, you cannot unlink any content that is already used in a published activity.
You can see under the tab Content Management which content is in use. If content is in use, you see a dot next to it in the column 'In use'. Hover with your mouse over the dot to see in which templates the content is in use.
Any content that is not in use can be unlinked by removing the checkmark in front of it and clicking Update.
Tip: there's a quick way to unlink any unused content in a published template. Remove the checkmark next to 'Name' and click on Update. Any content that is currently not used in the published template will then be unlinked.
