Scenarios

  • You have content in your content library that is no longer in use and you want to delete this content to keep your content library structured and clean.

Required roles

Author and Designer

If you delete content from the content library, that content will be permanently deleted. This cannot be undone.

1. Make sure all content you want to delete is unlinked from templates, activities, questions and content parts

Content can only be removed if the content is no longer used in activities, is no longer linked to templates and is no longer linked as content part info, question info or feedback info in questions.

How do you see where content is still linked and in use?

On the page you can see in the In use column if a content library is linked to a template. A content library is linked to one or more templates is you see a check mark in the column In use. By clicking the check mark you see to which template(s) the content library is linked. Via this pop-up you can also click directly the name of the template to open the template.

In the template you can open the Content Management tab to see which content libraries are linked to the template and which content is linked to the template and is used in activities.

Requirements that should be met before content can be unlinked from templates

1. Content may not be linked to published activities or hidden activities in a published template. You also cannot unlink content from these activities;

2. Content linked to an unpublished template can always be unlinked.

If you unlink content that is already used in an (unpublished) activity, the content will also be removed from that activity.

Content with the status 'Available to be used in' on the Content Management tab of a template, can be immediately removed from the content library via the More > Remove button.

3. Content that is linked to a published template but not used in activities can be immediately unlinked from the template;

4. Content may no longer be used as an explanation of the start or end of an activity. You can also unlink this content from published activities;

5. Content may no longer be used as an explanation above a block. You can still unlink this content from published blocks;

6. Content may no longer be used as an explanation at the start of a course. You can still unlink this content in published templates;

7. Content may no longer be linked as 'Content part info' in content parts, as 'Question info' or 'Feedback info' in questions.

How do you unlink content from the template?

You can unlink content from the template via the Content Management tab in the template:

  • A blue checkmark means that the content is linked to the template but not yet used in a published activity. You can immediately unlink this content from your template.
  • grey checkmark means the content is linked to the template and is used in a published activity. You cannot unlink this content.
    If the content is linked as explanation at the start or end of an activity, or at the start of the course, you can still unlink the content from explanations above blocks or at the start or end of an activity.

2. Delete the content from the content library

Once the content you want to delete has been unlinked from the templates, you are able to delete the content. This can be done in two ways:

1. If you want to delete multiple content parts and/or questions at the same time, you can do this via the content library via the page. Open the content library and select all the content you want to delete and then click the trash can to delete the content. This action cannot be undone.

2. If you want to delete one content part or question at a time, you can also do this via the Content Management tab of a template. To do this, click the More button next to the question or content part and choose Delete.
If this option is not available yet, the content is still linked somewhere.

If you delete content from the content library, that content will be permanently deleted. This cannot be undone.
