What can I do on the Learner tab of the course settings?

  1. Subscribe learners
  2. Add learner groups
  3. Add learners to a learner group
  4. Viewing and managing the subscription status
  5. Extend a subscription

A) Subscribe learners

You can manually add and subscribe a new learner by clicking + Learner. Keep in mind that this will be subtracted from your available licences.

If the learner already has an account in your learning environment, click Select learner to add the existing learner to the course.


B) Add learner groups

Click on Select group to add one or more learner groups to the course. All learners within these groups will be added to the course.

Tick the box next to 'Send an e-mail to the learner(s) regarding this subscription' if you want to inform all learners in the group about this subscription.

If a learner group is linked to a course, this cannot be undone. Via the tab Users --> Groups you are able to unlink learners from a learner group. 


C) Adding learners to a learner group

It might be useful for you to add learners to a learning group, even if you do not need to use this feature for its typical uses. For example, if you want to create reports based on users, you can only filter based on learner groups.

If you want to add learners to a learner group from this page, increase the number of learners shown in the bottom right of the page.


This allows you to add learners to a new or existing learner group.

If you add learners to an existing group, they will also be subscribed to all courses the learning group is linked to.


D) Viewing and managing the subscription status

A course subscription can have one of the following statuses:

New

The learner is subscribed to the course, but has not started the course yet.

If the preservability settings of a course are set to expire after a year, the year will start when the learner starts the course and loses the status 'New'. 

Active

Learners with this status have started the course. They can now receive notifications from the course. 

You can manually set learners to this status by selecting them and then clicking .

The license of a learner starts once their status becomes 'Active'. 

Expired

When the expiry date of a subscription is reached, a learner receives this status. Learners will see these courses set to 'Expired' on their homepage. They can no longer access the course, but will keep any progress and results in their results overview. 

If you want to fully remove a subscription (and thus also remove all progress and results of the learner), click the name of the learner. Select the tab Learner, select the subscription and click the trash bin icon to delete the subscription.

Ended

You can set a learner to inactive manually by selecting the learner and clicking.

You can only remove a course once all learners have the status 'Expired' or 'Inactive'. You first have to activate and then deactivate learners with the status 'New'.
