○ Importing users - Filling in the CSV file
Below you will find the column names that you can use for the user import file. You can use for example this file: example-import-_N4.xls
When you are done filling in the details, save the file as CSV and follow the instructions in the article importing users.
Title - Optional
e.g. 'Mr.'
ExternalID - Optional
If you use our API or an external system, you will need to enter an external ID here.
This field mus be unique.
FirstName - Mandatory
MiddleName - Optional
LastName - Mandatory
Login - Mandatory, unless you add an ExternalID (keep in mind that learners won't receive any notifications then)
Enter the e-mail address of the learner or the login name if the learning environment is set up to not log in with e-mail addresses.
When adding a new user, this field must be unique.
Password - Optional
The password you enter must contain at least 8 characters.
Tip: Let the system generate passwords by choosing 'Generate password' when importing.
ForcePasswordChange - Optional
Fill in 'yes' if you want to force users to change their password on the first login.
Renewable - Optional
Fill in 'no' if you don't want the user to be renewable. Fill in 'yes' if you want to turn on the license is renewable check box for the learner.
Email - Doesn't need to be entered unless learners log in with a login name instead of an e-mail address. This field doesn't have to be unique in this case.
Initials - Optional
Function - Optional
Enter the function of someone within a company.
Company - Optional
DateOfBirth - Optional
Warning: The correct format is yyyy-mm-dd. Excel will automatically adjust this when opening the file. Choose a Text-format in excell rather then a Date-format. This will help get the formating for the date of birth right. Please make sure you're saving this in the right format, before importing.
TelephoneNumber - Optional

If aNewSpring added extra fields to your learning environment, you can enter the value for this field here. You can request a maximum of 5 custom fields.

If you make use of custom fields, you can keep the columns for these fields named custom 1 to 5. You don't have to rename the columns in the import file.
Gender - Optional
Accepted input: 'female' and 'male'.
Role - Optional unless you use groups
Fill in the role of the user. If you don't fill in anything, the user will be a learner by default. These are the options:
- STUDENT
- TEACHER
- AUTHOR
- DESIGNER
- OBSERVER
- ADMINISTRATOR
- RESELLER
Using the import, it's possible to add learners to a course and instructors or observers to a group. You can import users with other roles, but you will have to manually link them to content libraries and/or templates.
If you want to subscribe an existing instructor to a course, you will explicitly have to definte the role STUDENT. This will not overwrite the instructor role, but it will add the learner role.
Course - Optional
Enter the name of the course with the exact same spelling (and spaces/special characters). When importing, the user, despite their role, will be subscribed to the course as a learner. Don't fill in this column if you only want to upload users to the learning environment, without subscribing them to a course.
Tip: Do you want to subscribe a learner to multiple courses? Create multiple rows for the same person. You can also choose to make multiple Excel files per course and import them separately.
StartCourse - Optional
Enter 'yes' to activate learners immediately in the course. The start date of the course will then immediately be filled in. Are you importing new users? Then keep in mind that the year of the license starts at the same time. See also How do I manage the licenses of learners?
Locale - Optional
You can specify a language for the learner. If you leave this column empty, the default language of the learning environment will be used.

Please note: It's possible that one of these languages has not been enabled for your learning environment yet. Send an e-mail to support@anewspring.com so we can enable it.
Group - Optional. Unless you want to use groups
Add learners, instructors or observers to an existing group. To do this, fill in the external ID of the group. If you use this option, fill in 'STUDENT', 'TEACHER' or 'OBSERVER' in the 'Role' column to import the user to the right group.
SubEnvironment - Optional
If you make use of submanagement you can link users to the correct subenvironment via the import file. Add the name of the sub environment to link users to it. You can find the name at the Settings page when you have the tenant role. This will only work when you are using submanagement in aNewSpring.
If you don't link learners to a subenvironment when importing the learners, it is possible that learners aren't visible on the Users page yet. Because the learners aren't linked to a subenvironment, only superadministrators can see these users.
BundleCourse - Optional
Enter the name of the bundle course with the exact same spelling (and spaces/special characters).
Tip: The personal details above are not all visible to users by default. We can turn these fields on and off. If you contact us, we would like to know for whom (administrator, instructor, learner and/or in the profile (also visible to other learners) the fields should be visible and if the fields should be visible, editable and/or mandatory.

Save the file as CSV.
