Scenarios

  • You use multiple subenvironments and would like to divide the management of learners.
  • You want to appoint an own administrator per subenvironment that will manage their own learners and users.

If submanagement is enabled, you will need the rights for a subenvironment as an administrator. You won't be able to see anything that is linked to other subenvironments. 

There is a division between a user that is linked to a subenvironment and a user that has rights to manage concepts* that are linked to subenvironment. 

*By concepts we mean for example templates, courses, content libraries and groups.


Assigning administration rights for subenvironment(s) to a user.

You can assign administration rights for subenvironment(s) to administrators, tenants and resellers. These are the rights you will get with this:

  • Administrator: Can link users to a subenvironment and decide which subenvironment concepts* are visible (or not).
  • Tenant: Can set up the look&feel for a subenvironment and the email templates.
  • Reseller: Can create access code groups for a subenvironment, set up the catalogue and manage orders.

Go to the Users tab and click the Roles button.
Make sure that the concerning roles are checked, click Update and go to the tabs Administrator, Reseller and Tenant to give rights for the subenvironments.


Super administrators - Always linked to all subenvironments

Under these tabs you will also find an option Always linked to all subenvironments. If you check this, you will make the user super administrator, super reseller or super tenant. These users will always automatically have access to all subenvironments.
Only super administrators can make other administrators super administrator, super reseller or super tenant. To make someone a super tenant, you also need to be a super tenant yourself. Only super tenants can see concepts that aren't linked to their own subenvironment.


Linking a user to a subenvironment

If you link a user to a subenvironment, this user can be managed by each administrator that has rights for this subenvironment. The administrator can change the details and manage the subscriptions of the learner.
You can link this by going to the Users tab. There is a small chain icon. If you click this, you can see which subenvironments the user is a part of. You can link multiple subenvironments (if you have rights for those) by selecting the user(s) and clicking the button . Select the subenvironment(s) that you want to link the user to.

How about authors, designers and resellers?

Authors still have access to all content libraries for which they have author rights. Designers still have access to all templates if they have the designer rights for all the content libraries that are in use.
If you link a content library to a subenvironment, this only means that administrators of this subenvironment can assign author and designer rights for this content library. Authors and designers don't need to be linked to the same subenvironments as the concepts that they have access to.


Subenvironments and reports

If submanagement is enabled, you can also link custom reports to a subenvironment. Only administrators that are linked to that subenvironment can run the report.

You can also add columns to the report that have to do with submanagement and you can filter on it in step 4.
