○ Create an assessment template and give learners access via an exam code
This article contains information about the use of the /exams page of the learning environment. This allows you to give learners direct access to a course that only contains one assessment activity via an access code (exam code).
Scenarios
- You want to give learners access to a course that only contains one assessment activity. You want to give learners direct access to this course by using an access code.
- Your learners have to do an assessment without having access to other activities and courses.
- Your learners have to do an assessment on location. Access to this activity should be given on the moment they are going to start with the assessment.
- Learners that don't have an account in the learning environment, have to do an assessment activity in the learning environment. By using the exam codes, learners can easily get access to the assessment without an account.
Required roles
- Author (to create questions for the assessment)
- Designer (to create the template and assessment activity)
- Administrator (to create a course under the template)
- Reseller (to create an access code group with access codes that will give the learners access to the course with the assessment)
1) Create a template and add an assessment activity
Go to the page and create a new template via the +Template button. Under Purpose of the template, select 'To create one limited activity for exam or evaluation purpose'.
You can read more about setting up an assessment activity in the article ○ Set up the assessment activity. If you don't want your learners to see feedback after completing the assssment activity, you can set this up in the settings of the assessment activity. See Step 4 of the article to read more about the possible feedback settings.
2) Publish the template and create a course
After the assessment activity has been completely set up and all the template settings are correct, you can publish the template. Then create a course under the template.
3) Create an access code group
Now that the template and course are ready, you can create an access code group. Go to the page and click the Access Codes button at the top right. Then click +Group . Give the access code group a name and select the course that should be linked to the access code group.
As soon as learners receive an access code from this access code group, it will give them access to the course that has been linked to the access code group.
Click Create to create the access code group.
4) Create access codes
There are two options for creating the access codes that provide access to the assessment course. These options are explained below.
a) Create access codes and share them with your learners
Within the access code group you can now create access codes that you can share with learners that need to do the assessment.
Click View next to the name of the access code group. On this page you can indicate how many access codes you want to create.
b) Link access codes to learners
Within an access code group that will be used for the /exams page, it is also possible to link access codes to specific learners.
To do this, click Create access code for specific learner. Then select the learner that you would like to link to an access code. An access code will be created and linked to the account of the learner.
This can be done within the access code group. To open the right access code group, click the View button next to the name of the access code group.
The advantage of linking an access code to a specific learner is that a learner doesn't have to be logged in when the access code is used by the learner.
When the learner enters the access code, the system recognizes that this access code is linked to the account of the learner. The learner will automatically be logged in and subscribed to the course with the assessment activity.
5) Using the access code
Once the access codes have been created (and possibly linked to the learners) and they have been shared with the learners, the learners can use the access code in order to get access to assessment.
The learners should use the accesss code on the /exams page of the learning environment. This page can be reached by the URL 'learningenvironment.anewspring.com/exams'. There is an access code field visible here and learners can fill in the access code here in order to get access to the assessment.
Replace 'learningenvironment.anewspring.com' for the URL of your own learning environment. Add /exams at the end of the URL so learners can redeem the access code to get access to the assessment activity. Only exam codes can be used here.
After filling in the access code, the learner will see a screen where he can see the user data. By clicking the Start button, access to the course with the assessment activity will be given.
If there are more course subscriptions linked to the account of the learner, the learner is not able to open theses courses when the learner is logged in via the /exams page.
The learner can't access other activities from other courses during the assessment.
If the access code is redeemed by a learner who doesn't have an account in the learning environment, an account will be automatically created for the learner and a license will be deducted from the balance.
Because the learner only needs to fill in the first name and last name, the learner isn't able to login again after logging out. Therefore these learners will only have access to the assessment once.
