Scenarios

  • A training for your employees takes place with a minimum of 15 people. There are 12 learners registered, as an administrator you add 3 employees manually.
  • A learner has registered for an event, but informs you by e-mail that he will not be attending. By unsubscribing this learner yourself, a place will become available for another learner.
  • You have created an event activity with multiple dates at which a training will take place. Learners have chosen their date and registered. The meeting is canceled for a number of dates. By unsubscribing the learners from the event, they can easy choose another date in the activity. 
  • You want to keep an attendance list during a meeting.
  • You have an event with a limited number of places, and you have no idea how much enthusiasm there is beforehand. You have therefore added an extra event to the activity that acts as a waiting list that learners can register for when the official meeting is full. This allows you to determine how many extra events you are going to schedule to which you can move the learners on the waiting list.
Necessary roles to do this
  • Administrator (with the rights to manage events)
    and 
  • Instructor (that is linked to the event)

You can go the the manage events page in different ways:

  1. Via settings of the course, tab Activities.
  2. At the Instructor tab you will find an Events tab.
    Only when you are added to the event as an instructor.
  3. Or click the Events tab and click Open at an event.

Then go to the Learners tab to manage them.

Events a learner is enrolled to, can also be managed on the  page. Clicknext to the name of the learner and go to the tab Learner.
Under Enrolled events you see the events the learner is enrolled to and to which course this event is linked to. You can also unenrol the learner from an event here.


1) Enrol learners manually

To do this, click on the blue button Enrol Learner. A bulk action is not possible here because an event can also occur in multiple activities that a learner has access to. If that is the case, you have to make a choice after Enrol for which activity this enrolment should apply.

You can notify learners of the enrollment. Then the notification 'Event - learner enrolled' will be sent.


2) Unenrol learners

If you have linked multiple events to an activity and one of them is cancelled, it is best to unenrol the learners yourself. Otherwise, the learners first have to unenrol themselves before they can register for another date.


3) Transfer learners to another event

You can only Transfer learners to events which are selected in the same activity. This function can be used when you added an event as waiting list; read the last scenario of the article for this.


4) Export a list of learners of the event

Under the Assessment tab you can indicate that the event will be assesst based on Attendance. To easily keep track of attendance during the event, you can find the Download learner list option via the More button (also in the overview of all events).
