○ Checklist for linking the concepts to submanagement
Before you get started with this checklist, you can find more information about it in the article Submanagement.
Warning: turning submanagement on may involve costs.
In a nutshell, subadministration allows you to appoint an administrator for each subenvironment who is responsible for managing users, templates, courses, content libraries and groups associated with a subenvironment.
Scenarios
- Your environment is already up and running and you decide to start using submanagement. The checklist in this article will help you not to skip any concepts when linking.
- You have decided to start working with aNewSpring and 'submanagement' fits perfectly in the picture of what you want to do with an online learning system. You link all concepts to the right subenvironment from the start and the checklist is a great help for doing this.
Roles
Super administrator
Ask aNewSpring to turn on submanagement
Because this functionality has a big impact on managing users in the learning environment, we will always make one of our Customer Success Managers available to set this up with you.
Once submanagement is enabled in your environment, all existing administrators will become 'Super Administrators'. They will be able to continue to manage everything now and in the future because they will be linked to all subenvironments by default.
Good to know before you start linking
- Subadministrators who have access to a subenvironment, will only see the items from the checklist below that are also linked to their subenvironment. The other items are protected and not visible.
- Super administrators can also choose not to link certain items to a subenvironment at all. Then that concept is only accessible to superadministrators.
Checklist
In the checklist below you will find everything that can be linked to a subenvironment per tab in aNewSpring. This ensures that the concepts mentioned are manageable for subadministrators.
1) Users tab
- All users
To make them manageable for administrators- For users with the following roles, also link a subenvironment for each role so that they can perform their tasks:
- Administrator
- Tennant
- Reseller
See for this the header 'Assigning administration rights for subenvironment(s) to a user'.
- For users with the following roles, also link a subenvironment for each role so that they can perform their tasks:
- Groups:
- Instructors
- Learners
- Observers
By linking authors and designers to a subenvironment, you only ensure that they are manageable by the subadministrator who is also linked to that environment.
You can only give authors and designers rights to content and templates by linking them to content libraries.
2) Templates tab
- Templates
- Courses
- Tag collections
- Bundles
3) Content tab
- Content libraries
- Courses and product images
- Tag collections
4) Events tab
- All events
5) Surveys tab
- Surveys
6) Reports tab
- All reports
7) Settings tab
All options on the right hand side are only visible to the super administrators.
- Look & Feels
- Logos and images of the Look & Feel
The tabs where you can't link anything to sub-environments
To see some of the tabs, you must have a role other than Administrator. Because of this, it is not necessary to link anything to sub-environments under the following tabs.
- Instruct tab
An instructor/observer is given access to an instructor or observer group via his role, after which the Instruct tab becomes visible. - Reseller tab
A reseller's role has access to a particular sub-environment, after which he can manage the catalogue and orders.
