○ Tutorial: Create a report to view the time spent by learners in activities and courses
Scenarios
- You want to see how much time your learners spent on average in courses.
- You have added an estimated time indication to the activities in the learning journey. By retrieving the average time per activity, you can easily adjust that estimate.
Which roles are required?
Administrator, instructor
In this tutorial we are going to make an example report showing the total time spent in a course per learner.
Click on the tab .
A) Use a predefined report
To get you started without any hassle, click +Predefined report to generate a report that already includes the basic settings.
You can choose one of the following reports:
- Duration - Per course average course- and activity duration
- Duration - Per learner total course- and activity duration
Select an option and click OK. This will automatically generate a report and bring you to step 4 Filters.
B) Click on + Report to create a new one
Using one of the predefined reports already configures a part of the report. Below, we will explain how to create a report from scratch.
1) Select type
When you make a report based on time registration, choose Results as the type.
2) Select columns
Select the columns shown in the screenshot below. By using these, we will see the duration per learner for a specific course.
3) Group rows
In this step you can determine which columns should be grouped into one row.
By basing the row grouping on the User, each row in the report will start with the full name of a participant.
If you selected additional User columns in step 2, for example Company, then the Company will be shown in the report in the column after the name of the participant.
By grouping with the Course, the name of the course per learner will be visible in the second column.
To make the course duration visible, select Combine columns last.
4) Filter
In this step you can already select the courses and / or learner groups which you want to include in this report.
By adding a filter, you can filter on specific data. For example, you could filter on specific learners.
5) Sorting
Now you can select how rows will be sorted, The system will first sort based on the primary option (the upper one) and within that it will sort based on the secondary option (the lower one).
Once you have set everything up to your liking, click on to run the report.
Depending on how much data is included in your report, it might take a while before the report is loaded.
6) View the report
Your report is ready! If you want to make some changes like adding columns, click Edit.
Click Export to export the report as a .csv file. You can use this file to edit your report in Excel or similar software.
Good to know
- We record the time shown in the report as of 22 December 2020. Any data related to time registration from before that date is not available.
- Coure duration includes all time a learner has spent in activities, MemoTrainers and extra practices. This does not include time spent viewing the activity overview or reading messages.
- We cannot measure the time spent in all activities. This includes certificates and activities launched in a pop-up window. By using a pop-up, the learner is outside of the platform and thus the time cannot be measured. SCORM activities are an exception to this.
- Should an administrator log in as a learner and spend time in an activity, this will be included in the activity and course duration. We cannot differentiate between the time the actual learner was logged in, and the time an administrator was logged in as the learner.
- Activity and course time will increase over time. You cannot create a report to see what the activity and course time were on a specific date.
- We measure the time spent as accurate as possible. For example, we only count the time a learner has the focus on the browser tab or app. There are however still factors that might distort the measured time. For example, a learner might leave a tab focused and open without actually working on the course. Also, if a learner works simultaneously in the app and in the browser, time spent will be measured twice.
To prevent the latter scenario, we offer a (paid) solution. We can enable an option that prevents users from logging in on multiple instances at the same time. Ask our Support Heroes for more information if you are interested. - Apple mobile devices, running on iOS 13 or lower, will keep tracking the time when the user locks the phone without leaving the activity player properly.
