Scenarios

  • You are searching for a content part or question but you don't know exactly to which content library this content part has been added.
  • You want to search for content about a specific topic for which content parts and questions have been created in multiple content libraries. You want to find all content about this topic from all content libraries.

What exactly can you search for when using the search engine on the Content page?

  • Search within texts in content parts and questions
  • Search within the names and IDs of content parts or questions
  • Search within the names and IDs of content libraries

It depends on the roles of a user which results are shown and within which parts will be searched for. More on this later.

What roles do you need?

  • Author and/or
  • Administrator

How does the search engine work?

  • A search term needs to be at least 3 characters long.
  • By adding a * at the end of the search term, all results that start with the given search term will be shown.
For example: the search term 'info*' gives results for 'information' but also for 'infographic'.
  • Placing " " at the beginning and end of the search term will give results that includes the complete search term.
For example: "information security" only gives results for the whole term, but searching for information security shows results on both 'information' and 'security'.
  • The search engine searches within names and IDs of content libraries, content parts, and questions and on text within content parts and questions.
  • If the search term gives a content library as result, you can open the content library by clicking the name.
  • If the search term gives a content part or question as a result, you can click the name to open it.

What can users search for and what results do they see?

Users with the role of Author

An author can search within the content libraries that the author has access to. The search engine searches within names and IDs of content libraries and content parts. The search engine will also search on the text within content parts and questions of the content libraries the Author has access to.

Users with the role of Administrator and Author (and Designer)

Users with this combination of roles can search across all content libraries that are linked to the Author role. They can search for names and IDs of content parts and questions and they can search on text within the content parts and quesions of these content libraries.

From the Administrator role these users can search on the name and ID of all content libraries.

Users with the role of Administrator ( and Designer)

Administrators can only search on the names and IDs of content libraries.
